Job Description:
Stanford University is seekingan Administrative Associate to provideroutine administrative or operational support working from detailedinstructions. The successful candidate will be comfortable as the Receptionistand Administrative go-to person for the Office of Technology Licensing. Theideal candidate will be highly organized, self-motivated, customer oriented andable to adapt to different working styles and needs. The successful candidatewill also have excellent verbal and written communication skills, pay closeattention to detail, will be resourceful, dependable, self-directed and aflexible team player with strong follow-up skills, and a positive can doattitude.
CORE DUTIES :
Greet visitors androute them to appropriate individuals, answer phones, and serve as a resourceon unit procedures and general inquiries.
Disseminate routinecommunications such as memos, notices, emails, and letters.
Perform officeduties including, but not limited to, handling of incoming and outgoing mail,entering data into basic tables, reports, or spreadsheets, making copies, andmonitoring and ordering of office supplies.
Track facilityand/or office equipment, such as keys, vehicles, and projectors, via logs, andschedule repairs as needed.
Review invoices foraccuracy, and initiate purchase requisitions.
Arrange meetingsand assist with routine conferences including scheduling rooms, managingequipment, ordering meals and assembling materials.
May make travelarrangements as directed in compliance with unit, university, and sponsorpolicies.
Create and maintainfiles and filing systems.
Setup office spacesand/or support coordination of basic office moves.
May provideguidance to temporary and student employees on routine matters.

Qualifications:
High school diploma orequivalent.
Experience in a customer serviceposition desired.
Basiccomputer skills and demonstrated experience with office software and email applications.
Ability tofollow through and complete assigned tasks.
Strongorganizational skills and attention to detail.
Strong verbaland written communication skills.
Excellentcustomer service and interpersonal skills.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
