Receptionist - Private Dental Practice

PRIMARY RESPONSIBILITIES

Responsible for administering the day-to-day activities of the business office, including: maintenance of the records of patients, scheduling of patients, accounts receivable, insurance verification, maintaining appearance and order of dental office, presentation of financial treatment plan options, and recall/recare system.

SPECIFIC DUTIES
RECEPTION MANAGEMENT:
oAssisting in opening and closing the dental office according to office protocol.
oReview the office for a neat, professional appearance and make necessary changes.
oCheck, update and maintain the daily schedule for accuracy.
oAnswer and respond to telephone calls with professionalism
oPerform duties in accordance with HIPAA standards.
PATIENT MANAGEMENT:
oMaintain a professional reception area; organize patient education materials, etc.
oGreet and welcome patients and visitors to the practice
oCheck in patients according to office protocol, verifying and updating patient information and insurance.
oManage recall and inactive patient system
oHelp explain office policy to patients
oConfirm the next day's appointments according to protocol and patient preferences
oSchedule patients for efficient use of doctor and staff time
oCheck patient quick-fill list to try to fill in cancellation and no-show appointment times
oCollect payment from patients at the time of treatment
oMake follow-up appointments as needed
oPrepare financial treatment plans and present plan options to patient at end of their appointment
RECORDS MANAGEMENT:
oGather and accurately record insurance information from patients
oSee that records are handled in compliance with HIPAA privacy and security regulations
oTrack cases and referrals to and from other doctors
INSURANCE:
oUpdate insurance information on all patients at all times
oPrepare claim forms for patients with dental insurance
oOrganize supporting materials for claim forms, such as radiographs or written narratives.
oMail or electronically submit claim forms from office
oOccasionally assist in the resolution of problems with third-party payers.
INVENTORY MANAGEMENT:
oMonitor inventory and order dental office supplies as needed
oMonitor and make sure all dental office equipment is working properly
OFFICE PARTICIPATION:
oBe an active participant in staff meetings
oShow up to work 15 minutes prior to your scheduled start time.
oOccasional schedule flexibility when patient appointments run past closing/lunch time.

CORRESPONDENCE:
oSort, organize, and distribute mail
oPrepare and send out new patient and referral thank-you letters.
oPrepare and send out correspondence as directed.
Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
