Sr. Administrative Assistant

Support position to the VP of Operations and General Managers, Sales. Main communication link for all of the direct reports to VP of operations which include: General Managers, Battery Service Program Managers and Sales Route Reps.
Primary Responsibility:
o Providing secretarial support, as required to the VP of Operations.
o Schedule business appointments, maintain calendar.
o Arrange and maintain travel plans and itineraries
o Collect all travel-related expense receipts and prepare expense report.
o Organizing programs, events, meetings, conferences as required
o Performing confidential secretarial functions including developing and drafting written correspondence
o Responsible for all correspondence including word processing, dictation, transcription, meeting minutes and other confidential inquires. This includes composing memos, worksheets (charts, table and graphs) on an as needed basis.
o Creating reports as needed
o Screening incoming calls and correspondence, responding independently when possible
o Act as a liaison between department managers, staff and executives in-house and off-site functions
o Prepare sales support materials including presentations and various reports
o Performing special projects as defined.
o Communication link between East & West Sales, Operation field staff.
o Communicate with GM and field staff
o Performs administrative tasks to support the operations group
o Assist with standard operating procedures
o Assist with the coordination and follow-up of projects for VP, GMs
o Create Excel trend reports for staff
o Maintain VP, GM calendars
o Coordinate conference calls and conferences/meetings
o Track budgets, projects and action items
o Conduct surveys
o Reconcile expense reports
o Build presentations/reports for VP of operations and GMs
o Take meeting minutes and distribute to appropriate stakeholders.
o Coordinate new employee agenda, including pre-arrival preparations
o Track attendance. Leave forms for team and liaison with HR
o Coordinate meals, transportation, lodging, equipment and other relevant matters for
o Other duties as assigned
Essential Skills:
o BA degree or equivalent job experience.
o 5
years' experience supporting senior level executive required
o Must be proficient in MS Office Suite. Specifically with MS Excel & PowerPoint.
o Visio, Organization Charts is a must
o Strong verbal and written communication skills is a requirement
o Professional demeanor and ability to interact comfortably with all levels of management
o Excellent interpersonal skills
o Able to handle highly confidential matters
o Highly organized with strong time management skills
o Punctual and reliable
o Attention to detail
o Ability to independently manage and complete projects on time
o Ability to determine and set priorities
o Ability to multitask
o Courier services/shipping experience
o Ability to adapt to change

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
