## Description
Will report to the Executive Medical Director for the division. The position will provide support for multiple faculty and will provide back-up support for other Administrative Assistants in the division. The ideal candidate will be able to work well independently and possess the ability to multi-task.
Budgetary
Responsibilities:
Division Admin for ledger review, PCard, monitor discretionary funds for all division faculty
Coordinate with Executive Medical Director for approval of travel for all division faculty
Manage Start-Up funds and Professional Development funds for Executive Medical Director and other division faculty
Pay lab fees
Human Resources
Responsibilities:
Coordinate faculty recruitment under the direction of the Executive Medical Director for the division and the Chair''s office
Assist with division fellowships
Manage Post-Doc leave reports for the department
Clinical and Research Support:
Manage call schedule for multiple services
Provide back-up coverage for management of service schedule
Coordinator for the IQ Immunoquery software system
Manage requests for archived clinical material for conferences and research for division faculty
Pull reports for research, research/survey projects, pull Eskind library articles for Executive Medical Director and other division faculty
General Administrative Support:
Handle travel for the Executive Medical Director and other division faculty
Assist faculty with expense reports, process check requests, renew memberships, dues, and subscription renewals
Manage Outlook calendars
Coordinate meetings, send Outlook invitations, and take minutes
Provide back-up support for other Administrative Assistants in the division
Order supplies
## Basic Qualifications
Basic
Qualifications:
Associate's and 4 years' experience or the equivalent required.
Preferred Education, Skills, and Experiences:
Associate''s degree and 5 years of experience in a high demand or executive level administrative support position preferred
Experience may be substituted for degree
Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe PhotoShop, and Adobe Acrobat required
Demonstrated organizational skills
Ability to think both critically and strategically
Previous experience with project management
Must be extremely articulate and detail-oriented
Ability to function independently
Ability to collaborate with others in a team environment
Knowledge of medical terminology a plus but not required
Vanderbilt experience preferred
Experience with database management helpful
Research/survey management preferred

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
