Position Description
This positions reports to Chief Learning Officer. There is significant interaction with both internal and external customers.
Essential Functions:
Perform administrative duties with minimal supervision for the executive management.
Screen calls, handle calendar.
Schedule meetings and appointments. Handle all meeting logistics and preparation of meeting and conference materials.
Coordinate complex travel arrangements, both domestic and international on a frequent basis.
Maintain travel and vacation schedules for all direct reports.
Prepare and submit accurate and timely expense reports in Concur. Take initiative to become a power user in internal systems such as Ariba (procurement) and Concur.
Manage all other administrative activities (records management & retention, mail distribution, reporting, special projects, administrative support to local office managers and agents, etc)
Coordinate budget completion with Training & Development department heads. Make revisions as directed, produce monthly monitoring reports for the management team.
Position Requirements
The Ideal Candidate Should Have:
Minimum of 3-5 years' relevant administrative experience. Experience supporting senior management is helpful. Previous business experience in a large multi-national environment is a plus.
High school diploma or equivalent. College degree preferred.
Excellent verbal and written communication skills are essential.
Able to prioritize and multi-task in a fast-paced dynamic organization.
Must possess excellent organizational and problem solving skills.
Maintain discretion and project a professional demeanor. Handle all responsibilities with a high level of diplomacy and discretion.
Strong working knowledge of Microsoft office applications (Outlook, Word, Excel, PowerPoint). Proficiency in Sharepoint is a plus.
Willingness to work evenings is essential.
