Responsibilities:
The Project Coordinator, JTCC is a key position within The Cancer Center with the ability to troubleshoot problems or issues, interface with patients and donors, as well as the ability to project manage multiple short and long-term assignments simultaneously. The key to this job is the ability to efficiently assess a project, break down the project into individual components and tasks, then assign duties and responsibilities to other staff, physicians, etc. It is essential that the Project Coordinator, JTCC keep projects moving on-time and have the ability to pull in additional resources within The Cancer Center, if necessary, in order to complete and assemble the project. Many of these projects will require broad knowledge of academic medicine and medical staff affairs, as well as fiscal management including Cancer Center foundation accounts which are to be utilized for projects within The Cancer Center.
1. The Project Coordinator, JTCC is the front-line ambassador for the Chairman of The Cancer Center and will act as a liaison to the Advisory Board of The Cancer Center.
2. Assists in the management of the activities of complex and widely diverse academic and clinical departments.
3. Project manages both short and long-term assignments, including but not limited to preparing data and PowerPoint and Excel presentations to the Cancer Advisory Board on a quarterly basis, Patient satisfaction and volume data to the All-Hands Quarterly Staff Meetings, and the preparation and presentation of data for the Oncology portion of the Annual report.
4. Troubleshoots problems such as needing to assess priority of requests and finding efficient ways to gather data, ensure accuracy, and then send onward on behalf of the Chairman.
5. Assign duties and responsibilities including triaging information such as clinical requests, media, donors, executive level administrator, and research requests. When triaging, the Project Coordinator, JTCC should know what internal resources are available to help complete responses to requests in the most expeditious and seamless way.
6. Provides overall support for the Chair''s academic, research, and clinical programs requiring leadership in general administration, operations management, and overall policy and procedure implementation. Ensures the selection and use of resources for maintaining department''s programs.
7. Primary lead on completing OPPE annual evaluations. Requires high-level training on the OPPE software which tracks inpatient encounters for our attending physicians. Required to be the primary contact for completing quarterly reports and verifying data from the software. Liaison to the Medical Staff Office for all thirty two Oncology physicians at The Cancer Center.
8. Responsible for ensuring mandatory training, licensure, and evaluations are completed for all Oncology physicians. Works with Regional Cancer Care Associates to verify proper board certifications, DEA licenses, and continuing education credits are current.
9. Coordinate the logistics of visiting dignitaries and their agendas and tours of The Cancer Center.
10. Provides expertise and participates in the organization of the Grand Rounds Program with responsibility for speaker suggestions and development of learning objectives. Completes CME certification paperwork for this educational activity.
11. Budget management for both the Grand Round conferences as well as and administration function of CME conferences for visiting professors ensuring accreditation requirements are met.
12. Yearly foundation budgets are managed in order to ensure that The Cancer Center is able to have a wide array for prominent speakers and researchers while keeping expenses lean. Prepares program brochure and maintains CME records for attending staff.
13. Provides technical assistance and support to faculty and staff in the departments of Lymphoma if necessary. Editing and proofing documents such as abstracts and manuscripts for this division.
14. Assists Chairmen and the Administrative Director on a broad range of internal and external activities and special projects including physician searches, coordination of national and international meetings, and all administrative matters.
15. Special projects include management of budget and coordinating the Annual Cancer Center Survivorship Event - Celebrating Life and Liberty. Responsible for tracking expenses - contacting vendors and talent and ensuring that this event does not go over budget.
16. Conducts administrative support to the Chairman to maintain department operations, such as scheduling appointments and meetings, screening calls, maintaining inventory, ordering supplies, preparing correspondence, composing memos, maintaining departmental manuals and files, etc.
17. Requires a wide degree of creativity, professional judgment and latitude in order to accomplish goals.
18. Adheres to the standards identified in the Medical Center''s Standards of Behavior and Managerial Competencies.
Working Conditions: Lifts a minimum of 5 lbs, pushes and pulls a minimum of 10 lbs. and stands a minimum of 1 hour a day.
Qualifications:
Education, Knowledge, Skills and Abilities Required:
1. Bachelor''s Degree.
2. 4 years of high-level project management experience.
3. Experience in health care or corporate sectors.
4. Proficient in computer skills including Microsoft Word, PowerPoint, and Excel.
5. Excellent Organizational skills. 6. Multitasking ability.
