REQUIREMENTS

This is work providing high-level administrative support to the Assistant County Health Department Director by conducting research, evaluating data, preparing reports, handling information requests, information security custodian, assisting internal and external customers, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and taking minutes.

This position requires the following:

  • Proficient in Microsoft Office
  • Experience preparing agenda's and minutes for meetings
  • One year of experience working in an office setting
  • One year of customer service experience
  • One year of experience gathering data and preparing reports

Preference will be given to individuals who have experience working with confidential information or in a confidential setting.

Developing constructive and cooperative working relationships with others. This individual will be part of the Administration team and will provide a welcoming and trustworthy presence. Taking accurate and complete messages when necessary. Handling calls using independent judgement. Makes necessary copies and ensures correspondence is forwarded to appropriate staff and mailed timely. Maintains alphabetic and chronological paper and electronic files of correspondence, documents, reports and other related materials. Maintains calendars and schedules calls and meetings for Assistant CHD Director. Serves as backup to the County Health Department Director s Assistant.

Identifying underlying principles, reasons, or facts by breaking down information or data into separate parts, to apply to community and CHD statistics. Types into final copy, letters, memoranda, various reports and other documents from rough draft, notes or oral instructions as assigned. Records and transposes minutes from assigned meetings. Assists with preparing agendas as needed.

Responsible for a variety of backup duties as assigned to ensure department meets deadlines and goals. These duties will be assigned by supervisor as needed and may include things such as processing outgoing mail, assisting with transporting fleet vehicles for maintence, assisting with inventory, etc. Orders supplies, pamphlets, forms etc. as requested.

Completes other duties as assigned.
