Menck Windows, located in Chicopee, MA, has an exciting opportunity for an Administrative Assistant.
About the Position
The Administrative Assistant provides administrative and marketing support for Menck Windows' growing management and sales team. In addition to answering and directing phone calls, greeting and assisting visitors, the Administrative performs duties such coordinating meetings, obtaining supplies, coordinating direct mailings and email blasts, and working on special projects. Deals with a diverse group of external callers, visitors, and vendors, as well as internal team members at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.
Essential Functions
Answers phones and takes messages or fields/answers questions; organizes and prioritizes information and calls.
Schedules and organizes activities such as meetings, travel, and activities for all members of the organization.
Establishes, develops, maintains and updates filing systems. Retrieves information from files when needed.
Sorts and distributes mail. Responds to requests for information.
Works independently and within a team on projects, which may include: planning and coordinating presentations, disseminating information, coordinating mailings, creating brochures, etc.
Types and designs general correspondences, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes.
Other duties as assigned.
Requirements
Professional, pleasant demeanor, acting as the first point of contact for customers, visitors, and vendors
Energetic disposition, team-oriented, and willingness to learn
Excellent verbal and written communication skills
Ability to prioritize and multi-task
Ability to collaborate effectively amongst all levels of the organization
One to two years related experience, preferred
Experience with CRM databases (Salesforce, ACT, Sugar) is a big plus
Experience with Microsoft Office Suite, and comfort with office technology
