Summary:
Berkeley Lab's Computational Research Division has an opening for a Administrative Assistant III. You will independently provide a comprehensive range of specialized administrative services and support to multiple groups in the Computer Science Department.
What You Will Do:
Arrange travel, including prepare and file paperwork associated with travel authorization and travel expense authorizations. Provide information to the department staff on LBNL Travel policies and procedures.
Work with procurement staff and utilize procurement tools to provide project procurement and financial reimbursement support for the department. Provide information to the department staff on LBNL Procurement policies and procedures.
Schedule professional appointments, job interviews, and seminars for staff; remind staff of appointments and meetings. Plan meetings and workshops, including obtaining venues, catering, etc.
Utilize various programs (Excel, PowerPoint, Word) on PC or Mac to create, edit and store complex documents including correspondence, proposals, presentations, reports, and technical manuscripts.
Interact with lab staff and external contacts to respond to inquiries, gather and provide information, and coordinate and schedule activities for the department.
Coordinate office space setups, signage, phones, and charges by working with appropriate LBL operations personnel.
Maintain electronic and hardcopy filing systems as appropriate.
What is Required:
A minimum of six years of specialized experience in a high-tech environment and demonstrated success providing a wide range of administrative support in a team setting.
Excellent customer service, communication and interpersonal skills over the telephone and in-person.
Demonstrated initiative and the ability to find problems and resolve them at an early stage with minimal guidance.
Extensive experience originating and maintaining Word, PowerPoint, and Excel documents as well as using advanced features of these programs.
Ability to establish and maintain effective working relationships with key Laboratory personnel.
Excellent verbal and written communication skills.
Must exhibit polished, professional interpersonal skills to work with people at all levels of the organization and visitors to the Lab.
Demonstrated skills in problem solving, working under pressure and multiple demands, handling multiple concurrent tasks, and attention to detail.
Excellent organizational skills to establish priorities, work independently, and develop and execute complex projects simultaneously.
Additional
Qualifications:
Experience with project tracking systems, databases, and spreadsheet programs.
Experience with procurement and reimbursement processes.
Demonstrated success working in a research unit.
Knowledge of LBNL, DOE, or other research institution administrative policies, procedures, and practices.
AA degree.

This is a full time career appointment.
Full-time, M-F, non-exempt (hourly paid) from overtime pay.
This position is represented by a union for collective bargaining purposes.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
