Our Mammalian center of excellence, Devens announced expansion plans to introduce biologics development and clinical trial manufacturing capabilities to the site, adding approximately 350 employees over time in state-of-the art development and production facilities.
BMS has an exciting opportunity for an experienced Administrative Assistant.
This role has been created based upon expansion of a growing organization.
This means the position will originally be based out of Hopkinton, MA but the role will move to Devens, MA late 2015.
Responsibilities:
Administrative support, including but not limited to word processing, meeting organization (planning, scheduling, and initiation), follow-up of purchase requisitions and check requests, preparation of routine correspondence, master filing and scheduling travel arrangements.
Interact with Legal for contracts and confidentiality agreements within the Ariba system.
Maintain expense and purchase order tracking systems including running reports and tracking expenditures in SAP to support departmental budgeting and reporting.
The role will serve as a key contact and build strong relationships for internal customers, researchers, senior management, and external partnerships.
Utilize strong communication skills to interact with varied calling audiences and displays strong listening and probing skills to determine nature of problem, then escalate issues as appropriate.
Interface with outsourced facilities management providers, their employees and subcontractors including requesting work, requesting, and reviewing reports, service orders or other deliverables.
The role requires independent investigation, analysis and recommendations for solutions to a broad range of departmental issues.
Manage internal training system for the group including status and independently assign/determine training components for site job classifications based upon existing guidelines.
Exercise strong judgment when assigning qualifications.
Actively team within group to develop new training programs and revise existing programs.
Qualifications 7
years experience working within scientific and/or facilities organizations preferred.
Previous experiences of supporting Senior level management Previous experience in BioPhrama/Phara organization a plus but not required Demonstrated ability to work both independently and within a team environment.
Able to participate in company departmental meetings and teams offering feedback and determining solutions.
Ability to multi-task and handle competing priorities in a fast paced, changing environment.
Excellent verbal and written communication, time management, and organizational skills are required.
Comprehensive working knowledge and use of MS Office Suite (Excel, Word, Outlook, Powerpoint).
Knowledge of LiveMeeting, Ariba, SAP, Trackwise, Sharepoint and Plateau systems a plus.
Close attention to details and follow-up are essential.
Flexibility of working on multiple tasks simultaneously.
Must handle short deadlines with a high level of urgency utilizing strong organizational skills.
Must be able to take initiative and have ability to work independently and as a team member.
Has a sense of ownership of programs and accountability.
Able to handle confidential information.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
