An international conflict management consulting company located in Concord, MA is seeking a Personal Assistant/Logistic Coordinator. The firm is an association of professionals and academics founded by Harvard graduates to help companies, governments, and individuals negotiate, communicate, and mediate more effectively.
This position will be responsible for 2 sets of responsibilities each comprising approximately 50% of each work week, including:
Personal Assistant Duties:
These responsibilities report to the CEO and his family and is responsible for the property management of the CEO's homes and the support of the CEO's family's travel, home, and personal needs. Time permitting and as needed, this individual may also assist the President and his family. Duties include:
- Scheduling personal appointments and personal travel arrangements (e.g., flights, hotels, car services, reservations)
- Property management of Principals' properties including the coordination of seasonal maintenance, vendor management and overseeing repairs and home improvement projects
- Mail packages, purchase items, etc.
- Event support for company or personal events
Logistic Coordinator Duties:
These responsibilities report to the Operations Director working with the Operations Director, the Company's staff and clients. Including:
- Assist with general clerical duties (e.g., filing, electronic/paper files coordination, enter data into various knowledge management databases, answer main telephone when needed)
- Print/assemble materials for training workshops and other events or programs using the appropriate Excel tracking worksheets
- Coordinate binding with outside vendor. Pick-up and deliver materials to vendor as needed
- Prepare/Pack/Ship materials to clients in a timely manner and notify appropriate contacts
- Monitor and track pick-up/delivery of materials
- Receive, unpack and sort returned materials
- Maintain supply inventories
- Maintain printers, including solving paper jams, placing service calls, and ordering adequate printer supplies
- Maintain orderliness in production room and bathroom
- Weekly take out recyclable materials/trash barrels for pick-up
Interested candidates must be must be highly organized, multi-task well, detail oriented, and work successfully independently and as part of a team in a high-energy environment characterized by frequent interruptions and last minute changes in tasks planned for the day while meeting deadlines. A professional manner in dealing with clients on the phone and in writing, is essential.
Candidates must possess a bachelor's degree or equivalent work experience. Must be proficient in Microsoft Office (especially Excel), Outlook, Adobe Acrobat, and CD burning software. Familiarity with Photoshop software, FedEx Online or other online shipping company software, experience working with various printers and scanners is helpful.
This position requires solely and safely lifting and storing of boxes weighing up to approximately 40-50 lbs., and prolonged periods of standing.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
