OFFICE ASSISTANT

We are a busy and growing HVAC company working in MA, RI, ME, NY and NH for over 25 years. We specialize in heating and air conditioning installation mainly in the commercial sector and also have a service department focusing on commercial and residential customers.
The ideal candidate will need to have excellent communication skills, highly motivated and with strong organizational skills with the ability to prioritize and handle multiple projects simultaneously in this full-time position. This is an excellent opportunity for a dedicated and enthusiastic recent college grad looking to grow within our organization and become a valued member of our team. We are willing to train the right candidate.
Requirements:
Excellent verbal and writing skills
Solid computer skills: Word, Excel and Power Point
Must be able to multi-task
Highly organized and detail oriented
Work independently and as part of a team
Responsibilities:
Answer phones
Responsible for incoming/outgoing mail
Order and maintain office supplies
Maintain efficient filing system for A/P, A/R and Job and Service invoicing
Schedule and track service technicians
Assist in creating and maintaining a service log system by customer
Liaison with other contractors, subcontractors regarding client projects
Sales calls to new and existing customers to discuss service package options
Regularly update and review company systems
Receive and track subcontractor certificates of insurance
Assist in fine tuning company website
Assist in creating and maintaining company calendar
Assist in maintaining and reconciling credit card accounts
Maintaining employee hours for payroll

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
