The Payroll Specialist/Administrative Assistant is responsible for the timely processing of payroll for both the weekly and bi-weekly payrolls and administrative support for the President of the Company. The Payroll Specialist/Administrative Assistant creates invoices, loads payroll into QuickBooks, creates paychecks, reconciles payroll between systems, uploads payroll files to financial institution and maintains/creates reports in Excel among other projects for the President.
Qualifications & Education Required
- High school diploma
- Proficient with MS Word, Outlook, and Windows
- Intermediate level of skill in Excel
- Previous experience with QuickBooks
- Ability to work independently
- Ability to communicate effectively utilizing both written and oral forms
- Ability to multitask
- Strong aptitude in math
- Strong detail and accuracy skills
- Comfortable and capable working in a face paced environment
- Strong problem solving skills
- Experience in collections preferred (insurance and private pay)
- Positive and effective customer service skills
- Experience in Federal and State Tax reporting preferred
Essential Functions:
- Create invoices/billing
- Create payroll (export to QuickBooks)
- Create Paychecks
- Data and New Hire Entry
- Balance QuickBooks to Database
- Transfer payroll interface to bank
- Process and track payroll corrections
- Process deductions/garnishments
- Create/Run Payroll reports
- Conduct Collection Calls to clients and/or insurance companies
- Make bank deposits and completes other banking tasks
- Create/maintain reports and metrics
- Complete Year End Reports
- Enter Journal Entries
- Other tasks/projects as assigned by management
Physical Requirements:
- Payroll Specialist/Administrative Assistant must be able to remain in a stationary position to perform the work. Walking; standing; bending; carrying of light items such as papers and office supplies, computer work, and answering phones will be required.
- Must be able to exchange accurate information in all communications.
- The ability to drive an automobile, with current state driver's license and valid auto insurance
Required

Payroll/Accounting: 1 year
Estimated Salary: $20 to $28 per hour based on qualifications.
