SECRETARY (OA)

The incumbent serves as secretary and liaison to the Chief of the Audiology and Speech Pathology Service.
He/she is a liaison between the Chief and all departments and clinics within A&SPS as well as other services and facilities.
The incumbent receives schedules, refers, and contacts members of the staff and persons outside the service ranging from other government agencies to the general public.
Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information.
He/she prepares, executes, and/or tracks program specific information such as trainee programs/affiliations, cooperative agreements, VISN 16 reports as well as data for Joint Commission and other duties as assigned.
Uses software applications to draw information, e.
g.
, VISN Support Service Center (VSSC/KLF), Denver Acquisition and Logistics Center (DALC), Remote Inquiry System (RIS), Ambulatory Care Reporting Package (ACRP) and other local templates.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Performs the following types of duties:
edits and composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Plans, implements and monitors the equipment calibration program serving as the point of contact for vendors.
Utilizes a variety of automated office equipment.
The incumbent obtains, via credit card, and monitors the use of services, supplies, or equipment for the Audiology/Speech Pathology Service at all the clinics.
Serves as purchase card holder responsible for obtaining government-wide purchase card certification to become the contracting officer of record for any purchases made, complying with all acquisition regulations, verify funds availabilty prior to making purchases, reconciling charges, ensuring receipt of goods ordered, providing approving official applicable receipt records to enable certification of payment, and maintaining appropriate receipt records.
He/she schedules appointments, coordinates meetings, and /or schedules conferences for the Service Chief and Assistant Service Chief.
Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments, arranging for meeting and small conference administrative details.
Serves as senior time card timekeeper.
Resolves timekeeping issues for Audiology & Speech staff members.
Interacts with Payroll Staff to resolve pay issues.
Insures that alternate timekeepers are trained and able to correctly post time cards.

This position's initial duty station is Biloxi, MS; however the duty station, based upon the needs of the health care system, may require the individual to work from other facilities (e.

, Mobile Outpatient Clinic, Alabama; Joint Ambulatory Care Clinic, Pensacola, FL; Eglin Outpatient clinic, Florida ; and Panama City Outpatient Clinics , Florida).

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
