The Front Office Supervisor is responsible for the overview and supervision of appointment scheduling and confirmation, patient flow, patient education, patient retention and collection of fees. This position is also responsible for supervision of the front office including training, education, and day to day coaching of staff. This is a working supervisor position who will also be working directly with patients.

EDUCATION AND
Experience:
1 - 3 years of experience in supervision of front office operations in a high volume medical practice.
Excellent computer skills including EHR systems and preferably experience with Centricity.
Demonstrable skills in motivating and training front office staff.
High school diploma or equivalent; 1 - 2 years of college preferred.
Must maintain a valid driver's license, a legal and valid vehicle to drive, along with proof of insurance.
Spanish speaking ability is preferred.

ESSENTIAL SKILLS AND ABILITIES:
Able to work well in a supervisory capacity.
Possesses a wide-range of knowledge applicable to financial (insurance) and clinical (office flow) functions.
Able to motivate staff through effective leadership and leading by example.
Exhibits excellent customer service skills.
Experience working in a high volume medical practice with multiple doctors.

Responsibilities:
Manage check-in, check-out, appointment booking, appointment confirmation and dictation.
Training and supervision of front office staff including data entry and customer service.
Back-up / provide coverage for front office staff at all locations
Responsible for HIPAA training, monitoring and correcting violations as necessary.
Monitor filing of charts and medical records. Ensure all out-going correspondence to referring physicians and proper filing of all correspondence.
Manage employee time cards, time off requests and other payroll preparation.
Answer questions regarding Pacific Eye services (patients or staff training).
Monitors process to ensure that patient no-show or rescheduled appointments are contacted.
Manage schedules for all patient appointments, including blocking physician schedules and creating templates in Centricity.
Create weekly schedules for front office staff.
Implement new processes and procedures to improve practice efficiency and customer service.
Proactive problem solving on an as needed basis.
Monitor front office supplies and inventory.
Conduct periodic employee performance reviews for front office staff.
Daily communication with Director of Operations regarding front office issues.
Coordinates with other managers for a smooth running office.
Handle all patient complaints personally when escalated beyond front line staff.
Travel and work in satellite offices as needed.
Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
