What will I be doing? As a Department Secretary/Administrative Assistant, you would be responsible for coordinating and performing administrative duties, including answering telephones, typing and composing correspondence and documents, opening and distributing mail and photocopying various documents.
Specifically, you would be responsible for performing the following tasks to the highest standards:
Composes, types and processes correspondence, reports, menus and theme party proposals as dictated or directed using proper grammar, punctuation and vocabulary.
Types all Event orders and change orders and phones-in last minute changes.
Responds to telephone and in-person inquiries using positive and clear English communication.
Direct and coordinate requests and follow through to the proper personnel.
Maintains, retrieves, files and stores department records, files and supplies weighing up to 50 Ibs.
at levels up to 6 feet high.
Maintains all departmental tracking systems and office supply pars.
Opens and distributes departmental mail (postal and interoffice).
Reserves function rooms utilizing automated function book, prepares event orders/change orders and obtains guarantee counts for all food events booked by regulars.
Performs other administrative duties, including, but not limited to, photo copying and routing various documents.
What are we looking for? EDUCATION High diploma or equivalent required.
Business college training preferred.
EXPERIENCE One year secretarial experience required.
Hotel and/or food industry experience preferred.
Computer proficiency preferred.
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
Knowledge of basic office procedures.
Basic mathematical and calculator skills necessary to prepare mathematical calculations without error, including percentages.
Ability to communicate effectively in English with employees and customers, understand reports and related correspondence and accurately perform all essential job functions.
Ability to effectively deal with external customers and employees (some of whom will require high levels of patience, tact and diplomacy to defuse anger) in a friendly and positive manner.
This involves listening to the nature of the concern demonstrating empathy with the customer and/or employee, providing positive and proactive solutions, deciding the appropriate action to be taken and following through accordingly.
Ability to access and accurately input information into a computer system, using the Microsoft Office Suite of products and other related software.
Delphi experience preferred Ability to operate a typewriter.
Ability to organize, prioritizes work, and meets deadlines.
Ability to accurately input/type 60 words per minute.
Must have excellent telephone etiquette skills.
Ability to use various office equipment, including, but not limited to, typewriters, calculators, photocopiers and facsimile machines.
Must be a team player.
Must be able to handle criticism.
Must be able to deal effectively with internal and external customers.
