Position Description:
The Accounts Receivable & Contracts Coordinator is responsible for processing client payments, reconciling client accounts, making sure we are being paid on a timely basis, resolving any discrepancies and addressing any errors related to the Accounts Receivable function. They are also responsible for tracking contracts & change orders, opportunity projects, as well as holds and neverbills.
Duties &
Responsibilities:
Processes and substantiates client payments: i.e. checks, ACH payments, credit cards etc.
Deposits checks utilizing Remote Deposit
Processes adjustments, credits and retainers as required
Applies payments to appropriate accounts and reconciles any discrepancies
Makes collection calls on accounts that are past due and sends out monthly statements
Handles client inquiries on invoices, payments, etc. and coordinates client issues with appropriate Project Manager
Reviews/Updates Accounts Receivable status with each Project Manager on a weekly basis
Establishes and maintains good relationships with our clients accounting staff
Should be alert to threats of fraud. They are required to immediately report any suspicious activity to the CFO and Controller.
Tracks contract agreements & change orders
Tracks opportunity projects
Tracks holds and neverbills
Essential
Qualifications:
High School Diploma or G.E.D. equivalent, Bachelors Degree desired
Experience working in an office environment, Accounting experience a plus
Essential Knowledge, Skills & Abilities:
Excellent communication skills, both written and oral
Ability to clearly answer accounting questions as it relates to Accounts Receivable
Exhibits excellent professional ethics
Highly skilled in dealing with financial and numeric data
Ability to multi-task, prioritize, stay focused
Ability to stay positive and upbeat when dealing with some potentially difficult clients
Proficient in Microsoft Office Suite (Word/Excel/Outlook) and Adobe Acrobat
Essential Position Requirements:
Ability to work additional and/or nonstandard office hours, as required

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
