Purpose :
Working under the leadership of the Associate Provost, this position recruits and administers conferences for the University of Maine leveraging campus facilities and operations and the facilities at the Hutchinson Center in Belfast. The director will be responsible for providing vision and leadership in conference recruitment, operations, and marketing and for overall Conference budget and personnel administration. Bring national and international conferences to the UMaine campus and the Hutchinson Center throughout the academic year and the summer session. Responsible for revenue generation to support the staffing of the operation as well as producing excess revenues to support the mission of the Division of Lifelong Learning. Works closely with the Associate Provost and the Division's management team to support the DLL mission. Work closely with UMaine's Auxiliary Services to provide seamless and one-stop services to clients.
Essential Duties & Responsibilities :
Proactively recruits new conference business to UMaine and the Hutchinson Center.
Develops a network of potential clients and colleagues in the conference industry and community to enhance the public presence of the University, including the Hutchinson Center, as a conference site.
Coordinates scheduling, planning, and implementation of conferences and special programs at UMaine.
Negotiates contracts and agreements.
Responds to and maintains contact with clients, acting as a public relations representative.
Supervises on-site management of conferences to ensure quality of accommodations, food services, media, transportation, and related services.
Coordinates management of programs with conference clients, facilities management, catering, housing, marketing and communications, the Hutchinson Center, and other appropriate units.
Maintains operating budgets, central billing and accounting processes within University guidelines. Prepares periodic budget reports.
Develops and implements sales and marketing strategies.
Originates policies and procedures regarding departmental operations.
Negotiates catering and hotel contracts in Belfast for the Hutchinson Center
Selects, trains, manages, evaluates and supervises conference staff.
Assists with special events as assigned by the Associate Provost.
Develops and maintains professional relationships that reflect courtesy, civility, and mutual respect.
Perform other reasonably related duties as assigned.
Knowledge, Skills & Qualifications :
Typically has the education associated with a Master's degree or an equivalent combination of education and experience. Employee must exhibit considerable judgment, initiative, creativity, and/or ingenuity, and have extensive relevant professional experience. This position requires a strong commitment and passion for growing Conference Services. Must have significant experience in the Conference Service industry, significant and relevant budget experience, in particular with revenue-generating operations. Must have strong supervisory skills. An entrepreneurial spirit and passion for excellent customer service is essential. Must have excellent working relationship with clients and staff, and be able to work collegially in a team-based environment. Must show evidence of excellent verbal and written communication skills and organizational skills. Previous experience working independently, as well as part of a team, and managing multiple priorities.
