A Phillies Baseball Academy Administrative Specialist is responsible for providing administrative support to the Field Manager as well as to the camp as a whole including general clerical, receptionist, and project-based work. They serve as a liaison between the camp and ESF families assisting with enrollment, admissions, camp life, and camp operations.
We are seeking motivated Team members who believe deeply in the organization's mission and who display a record of achievement in effective office management, building positive relationships and projecting a professional company image through all interactions with camp families, Team Members and ESF Executives.
Multiple locations in the following states: Pennsylvania, New Jersey, Delaware
Travel required every week
1. Serve as a liaison between the camp and PBA families on the phone or in person
2. Assist families with enrollment, admissions, camp life, and camp operations
3. Collect and post payments; record data for billing
4. Update camper records and record information in camper database
5. Answer telephones and transfer to appropriate Team members
6. Open, sort and distribute incoming correspondence, including mail, faxes and email
7. Perform general clerical duties that include, but are not limited to, bookkeeping, copying, faxing, mailing and filing
8. Help to ensure that camp office is clean, organized, and well-maintained
9. Inventory and order office supplies
10. Work effectively with co-workers and collaborate on various responsibilities
11. Follow the PBA Code and maintain the PBA Look at all times
12. Manage site budget, payroll and inventory
13. Provide input to Field Manager regarding topics for weekly team meetings and daily briefings.
14. Ensure all organization policies and procedures are maintained and upheld (PBA dress code, safety standards, core values, etc.)
15. Implement resource tools, systems, processes and operational SOPs to ensure Operational Excellence and sustainability of program
16. Coordinate special events (ieAward ceremonies, coach appearance, milestones, pictures, Monday a.m. check-in) and field trips
17. Relationship and facility management with site schools
18. Communicate with camp families through written and/or verbal contact
19. Encourage respect for personal property, camp equipment and facilities
20. Conduct mid and end-of-summer Team evaluations on direct reports (Production Assistants)

1. At least 1 year work experience in related field
1. Bachelor's degree
1. Outstanding communication skills which include the ability to use clear, concise and grammatically correct written and oral language in all aspects of professional interaction with campers, their families, peers, leadership team and the larger community
2. Basic accounting skills with a high degree of accuracy
3. Knowledge of Microsoft Office
1. Reports directly to and takes direction from the Field Manager.
1. Ability to push/pull, lift and carry a minimum of 35Ibs
2. Ability to respond to emergency situations which may require running (up to 1 mile in some cases) and climbing stairs
3. Good physical condition which enables candidate to execute all responsibilities associated with this position

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
