Job Description
The Installation Coordinator is responsible for making outbound calls to follow up on all requests from internal and external customers about customer service related information. Incumbent will be responsible for processing part orders, following up on inquiries and complaints, preparing reports, filing, answering phones, database entry, operating all office equipment and assisting in special projects. Position involves a high degree of organizational skill. The Installation Coordinator will be an internal point of contact for coordination of all equipment installation activities relative to service dispatch. Incumbent will also be cross-trained in other related departmental positions.
SCOPE OF POSITION:
The Installation Coordinator reports to the Customer Service Supervisor and works under general supervision. Position involves high degree of interaction with end customers (club owners, managers, maintenance staff, installation and repair partners), service providers and dealers. This position involves interaction with External Sales, Internal Sales, Accounting, Operations and Shipping. Pro-active follow up, attention to detail, customer service and professionalism are important factors in the daily administration of this position. The incumbent will work with a wide variety of customers, directly interfacing with all levels of customer organizations.
ESSENTIAL JOB FUNCTIONS:
Total Quality
o Actively pursues continuous improvement to meet or exceed customer needs.
Customer Contact
o Participates in team meetings & supports process changes with relevant data.
o Coordinates service to ensure timely resolution for end customer.
o Collects warranty information and analyzes data to ensure proactive approach to potential field issues.
o Consults with management to analyze process changes and implementation plans.
o Tracks job functions to properly ascertain capacity.
o Maintains contact with major customer accounts, and end-users through phone contact and correspondence.
o Explains and administers company policies and procedures pertaining to customer service (i.e. warranty policy, parts credit, return policy, etc.)
o Communicates effectively with internal customers (Sales, Accounting, Operations, etc.)
o Process billable service calls and installation invoices.
o Collects and manages Installation paperwork.
o Establish and maintain excellent rapport with dealers and service providers to ensure customer satisfaction.
o Assists customers with the use of Precor/Dealer Web site to find information.
Part Orders
o Assists customers with part orders through on-line computer system, including data-entry of key customer information.
o Assists customers in the identification of needed parts using product diagrams and schematics.
o Interface with other departments to assure proper parts order process.
Other
o Condenses data for analysis and reporting purposes.
o Inputs dispatch warranty claims into the computer system.
o Participates in new processes to help ensure the company achieves revenue, profitability, and market share targets through increased efficiencies.
o Assists with special projects as needed.
o Performs other duties as assigned.
Experience and Skills
EDUCATION AND EXPERIENCE REQUIREMENTS:
Any equivalent combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job, will be considered.
Education:
o High School diploma or equivalent required.
o Associates degree in Business or equivalent preferred.
Experience:
o Minimum of 3
years customer service experience required in professional setting.
o Experience with a variety of computer programs at an advanced level (Word, Excel, Outlook, Internet, etc.)
o Project management experience required.
o Keyboarding skills of 45
words per minute required.
o Minimum of 3
years experience presenting a professional and congenial phone manner (i.e.: tone, vocabulary, etc.)
o Experience in Field Service Operations preferred.
o Detail oriented with a strong ability to recognize parts and part numbers.
o Ability to deal with fast-paced environment with a high volume of phone calls, email, and work load on a consistent basis.
o High Proficiency of organizational & multi-tasking skills.
