Duties &
Responsibilities:
Process daily work efficiently and effectively within a dynamic and developing business and ERP landscape.
Support Head of Purchase to Pay with the goal of protecting the assets of BIVI.
Ensure disbursements are made within corporate guidelines and compliant with taxing authorities.
Provide best in class customer service to internal customers and vendors.
Automated Invoice Processing/Deliver
Continual creation of automated processing rules to ensure high degree of automation in AP process.
Handling of invoices/credit notes that are process exceptions due to complex topics.
Maintain and reconcile vendor and other relevant accounts payable accounts monthly.
Review and request vendor master data set-up and maintenance.
Provide GL account number for Non-PO Invoices.
Customer Service/Partner
Proactive communication with internal business partners and vendors relating to incorrect/incomplete documents and inquiries.
Team oriented focus on customer service.
Develop excellent working relationship with Invoice Track OCR processors to determine process efficiencies.
Work well with business partners to ensure high quality customer service.
Extensive understanding & knowledge of end-to-end P2P processes to ensure efficient interface with other departments.
Ad Hoc Reports & Continuous Improvement/Beyond
Support and assist in overall testing for ERP application upgrades.
Analyze, coordinate, and implement new processes to optimize automation of vendor invoices.
Responsible for planning and implementing various topics in overall improvement projects.
Compliant Disbursements/Integrity
Ensure that BIVI disbursement activity is processed and validated in an accurate and timely manner in accordance with company policies and procedures.
Ensure compliance with internal controls. Review transactions to ensure proper controls are in place and enforced.
Ensure compliance with German GAAP & all legal and tax requirements.
Responsible for the coordination and completion of documentation of work procedures.
Know and enforce BIVI A/P policies, sales and use tax laws, and IRS reporting regulations.
Conduct monthly review of transactions to ensure compliance with IRS guidelines.
Responsible for year end 1099 and 1042S reporting and documentation.
Responsible for record retention - archive.
Requirements:
Bachelors or Associates degree required in a Business related area (Accounting, Finance, or Management) preferred
Requires a minimum of one (1) to three (3) years of related accounts payable experience.
Requires excellent accounting knowledge, preferably in Accounts Payable area.
One (1) to three (3) years' leadership experience
Demonstrated strong attention to detail, analytical and problem-solving abilities.
Demonstrated ability to work independently as well as part of a team with minimal supervision, and capable of significant contributions on special projects.
Excellent organization skills, results driven.
Takes the initiative.
Excellent written and verbal communication skills.
Ability to grasp new topics quickly and transfer knowledge to others on team.
Excellent proficiency in Microsoft products Excel, Word, and PowerPoint.
Excellent understanding of internal controls, state sales and use tax laws and IRS regulations (to include 1099 reporting requirements).
Eligibility Requirements:
Must be legally authorized to work in the United States without restriction.
Must be willing to submit to a background investigation, including verification of your past employment, criminal history, and educational background
Must be willing to take a drug test and post-offer physical (if required)
Must be 18 years of age or older
