Summary:
Is responsible for completing various administrative tasks related to medical providers and the Department of Medicine. Typical tasks are moderately complex and varied, requiring moderate to intensive analysis. Tasks usually impact upon medical providers and the department, while seeking input and support from multiple departments or the organization as a whole.
MAJOR DUTIES AND
Responsibilities:
Professional Responsibilities
Coordinate and execute all administrative tasks related to medical providers, including but not limited to leave requests, assignment of coverage, reimbursements for CME and professional expenses, and other administrative tasks.
Plan and maintain accurate and up to date provider coverage and on-call calendar
Acts as representative contact person for department with clients, staff, and community contacts in person and by phone.
Develops relationships and collaborates with appropriate community resources.
Is helpful and professional in working with staff, and contacts in the community.
Identifies problem areas within the department and recommends potential solutions.
Provides necessary follow-up.
Administrative Responsibilities
Maintains departmental records, reports and documents and data is organized in such a manner to be easily accessible for other in the department.
Correspondence is always professional accurate and in a timely manner, checks voice mail, emails on a regular basis and follows up on any unanswered questions exercises autonomy in performing duties as assigned.
Coordinate, schedule, collect agenda items for assigned meetings.
Produce accurate and timely minutes which reflect the key issues of assigned meetings.
Maintain accurate calendar for the executive and considers all facets when planning meetings or events.
Handles confidential and non-routine information regularly.
Works independently and as part of a team on projects.
SKILLS AND ABILITIES:
Excellent verbal and written communication skills.
Strong organization skills and time management skills. Ability to work effectively with diverse populations.
EDUCATION AND/OR
Experience:
Required:, high school diploma, GED, or equivalent.
Desired: College degree preferred
Required: At least one year in related experience in administration.
Desired: At least five years of related experience in administration. Health care experience and community knowledge preferred.Estimated Salary: $20 to $28 per hour based on qualifications.
