The Global Medical Organization (GMO) focuses on the safety of patients and consumers using Janssen medicines, the safe and appropriate use of our J&J legacy of Established Products (the EP portfolio) and our strong commitment to pediatric development (the CHILD organization) .
The Senior Administrative Assistant will support two Vice Presidents; the Chief Medical Safety officer and the Global Head of Established Products and will partner with the Assistants?Community of Practice across GMO to ensure flawless day to day coordination of the business.
Major tasks include: manage and ?wn?calendar scheduling, responsible for scheduling/arranging meetings and travel, manage office functionality (ordering supplies maintenance of office equipment), managing incoming and outgoing communications. Critically review and proof documents. Ability to handle confidential information
The Sr. Administrative Assistant performs independent analysis of administrative responsibilities selecting the best course of action for the tasks at hand, prioritizing demands in a dynamic and fast-paced environment. Maintains performance in line with company-wide leadership standards as established in the Johnson & Johnson Credo Standards of Excellence. Communicates and secures sensitive and confidential information.
Duties and responsibilities can also include:
Schedule Coordination:
Maintains an accurate and fully up to date calendar for the GMS and EP groups
Organization and coordination of internal and external company meetings (location/conference room, necessary AV support, logistics / catering, meeting agendas and minutes)
Organizes travel/conference accommodations including gXRS reports
Provide support to Titusville Visitors as well as Back-Up Support for other Titusville located groups (through the Admin Community of Practice)
Participates in the planning phase of departmental activities
Coordinates the request of all computer hardware, software, telecom services and supplies as necessary for newly hired employees
Coordinates recognition and rewards as approved by management
Maintains departmental calendar and monitors departmental coverage
Efficiently and effectively handles incoming and outgoing communications with internal and external business partners
Financial:
Monitors/tracks PO's, invoices and reports
Prepares and provides detailed expense summaries and relevant documentation to track monthly, quarterly, or yearly expenses for the department
Qualifications
High School Diploma or equivalent required, college preferred.
Minimum of 5 years experience as an Administrative Assistant, including experience to assist senior executives, is required.
Prior support of clinical or medical functions/teams preferred.
Proficient knowledge of MS Office (Word, Excel, PowerPoint) is required.
Proficient in gXRS, Ariba, On-Line Travel, WebEx/TC preferred.
Ability to prioritize, organize work assignment and manage time and resolve problems, is required.
Attention to detail/accuracy is required.
Ability to follow instructions and work under tight timelines is required.
Excellent verbal and written communication skills and the ability to work in team/matrix environment required.
Ability to multi-task and support a group of professionals.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
