RECEPTIONIST

Monday - Friday
9:00 AM - 6:00 PM

Responsibilities Include:
Greet visitors and answer incoming calls in a professional and courteous manner.
Ensure visitors connect with their CTCT hosts.
Ensure callers connect with the appropriate CTCT contacts.
Maintain a neat and organized reception area.
Create and send daily birthday and workplace anniversary emails to all CTCT employees.
Deliver birthday gift cards and attach anniversary charms to designated employees every day, before lunchtime.
Submit work requests to the building landlord for temperature adjustments, building maintenance and repairs, etc.
Open and stamp for payment incoming checks going to Accounts Receivable as soon as possible after the mail is delivered.
Create mailing labels for outgoing packages and process the packages appropriately.
Coordinate the pickup and delivery of packages and US mail.
Assist with scheduling restricted conference rooms.
Coordinate the use of our public-facing conference rooms with outside professional groups.
Coordinate the receipt, notification, and delivery of incoming food orders. Order food for company-sanctioned events as required.
Coordinate the weekly food truck schedule with various food truck vendors.
Create security access cards, take access card ID photos, and maintain the security database.
Maintain adequate levels and the neatness of office supplies in the Supply Closet.
Order office supplies as required.
Create welcome baskets for new hires.
Obtain the information for and process all business card requests.
Receive and distribute paychecks to employees who lack direct deposit.
Process business partner payments, i.e., stuff envelopes, on a monthly basis.
Perform other administrative services as assigned.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
