Summary
The Facilities Coordinator is responsible for coordinating various services delivered by the Building Operations work unit and for providing back-up support for various functions and systems. The incumbent will coordinate fire and life safety training, develop and maintain work unit publications and materials, maintain the central filing system, operate and maintain the building fitness centers, assist in coordination of internal NRECA office moves, and provide back-up support for Building Operations team. All responsibilities shall be performed to provide exceptional customer service and business advice in accordance with NRECA policy and professional standards.
Purpose and Mission
1. Fire Life Safety coordination, training, and maintenance.
a. Coordination and implementation of policies, procedures, and protocol.
b. Scheduling of at least two fire drills for each building annually, including tenant communications.
c. Coordinate and schedule CPR and AED training for employees and maintain documentation.
2. Develop and maintain various work unit publications and materials.
3. Maintaining the central filing system:
a. Maintenance of lease files, contract files, invoices, correspondence, and project files for all NRECA buildings or leased facilities.
b. Update and maintain the Building Operations department internal electronic file sharing site. Keep all documents and information current and relevant.
c. Ensuring certificates of insurance are current for tenants and vendors.
4. Operation and maintenance of Fitness Centers located at 4301 and 4401 Wilson Blvd.
5. Internal NRECA office moves and relocations.
a. Assist in scheduling of internal NRECA office moves, communicating and coordinating with IT department and mailroom.
b. Coordinate move procedures with employees and staff and assemble necessary documents, move request forms and diagrams. Supply employees with moving crates as necessary.
c. Request quotations for any necessary furniture purchases and provide information to furniture approver.
d. Work with vendors to schedule and facilitate moves. Schedule any necessary cleaning or painting with appropriate vendors.
6. Building Operations back-up support including:
a. Filling-in for tenant coordinator / reception staff, responding to tenants, guests, and vendors, and resolving issues.
b. Organizing and coordinating tenant events and activities.
c. Administration of facilities management system and repository.
d. Building safety and security, assisting in electronic access control/cardkey distribution, emergency evacuation coordination, access control system, and maintenance services.
7. Performs other special projects or duties as assigned.
Requirements and Qualifications
Associates degree and facility/property management experience
2 - 5 years practical experience in facility or property management
Basic knowledge of facilities management systems
Extensive Microsoft Office Suites knowledge
Basic knowledge of facilities management systems
