Summary
The Executive Assistant position will provide a wide variety of executive support including research, writing, communication and administrative services to the Vice President of Finance and senior Finance staff. He/She will function as the point of contact for staff and visitors and will be responsible for addressing concerns, answering questions, and solving problems in a quick and satisfactory manner that will allow staff to focus on their core responsibilities.
Purpose and Mission
1. Provides executive assistance to the Vice President, Finance
Ensures that the administrative needs of the VP are met in a timely and professional manner, including telephones, calendar maintenance, travel arrangements and computer support.
Assure VP's timely response to administrative responsibilities by maintaining and routinely reviewing schedule/due dates and following up with appropriate parties. This would include goal-setting meetings, personnel review meetings, staff meetings and strategic planning sessions.
Set up and coordinate meetings and teleconferences, luncheons.
Effectively contributes to the day-to-day coordination and efficiency of the department by initiating changes/improvement through VP and other senior and support staff as required.
Acts as liaison between senior staff, managers, and support staff, advising VP of questions and concerns and relaying the VP's response.
Ascertains which inquiries and situations require the personal attention of the VP. For those not requiring the VP's attention, assigns inquiriy to the appropriate Finance staff member and monitors to ensure inquiries and potential problems are handled in a satisfactory and prompt manner.
Conduct research, gather background material on specific projects at the request of the VP.
Participates in Finance's strategic and business planning process including annual departmental goal setting meetings.
Represent the Finance Department on various Association-related committees and focus groups.
2. Finance office management
Oversee and coordinate daily office operations by managing the day-to-day needs and requests of staff in the Finance department.
Assure the departments needs for office supplies, equipment, furniture and miscellaneous items are met and provided in a cost-effective manner.
Coordinate needed repairs in Finance with Building Operations.
Coordinate and addresses security issues with Building Operations.
Provides new Finance employees with training on Finance administrative procedures, equipment use, voicemail setup, and copier operation.
Provides signing authority for supply purchases.
Coordinates with Finance senior staff the procurement of capital and expense items.
3. Finance communications
Responsible for monitoring and ensuring Finance LiveWire pages are current by coordinating routine updates with Finance Senior Staff.
Administer the Finance/Membership SharePoint to ensure the sites are properly designed and set-up.
Monitor SharePoint sites and coordinate updates to keep them current.
Requirements and Qualifications
Bachelor's Degree
6
years working in an office or customer service environment
Excellent verbal and communications skills
Advanced skills with Microsoft Office Suite including Word, Excel and PowerPoint
Basic to medium proficiency with SharePoint
Excellent organizational skills
Office management skills a plus
