Summary:
The Collector is responsible for a variety of collection functions within the Collections Department including collecting on unpaid balances from clients, resolving account/billing issues and working with the Cash Department to apply payments to client accounts.
Tasks and responsibilities
Collect unpaid balances from clients whose accounts have reached 31 days delinquency
Contact clients by phone, fax, e-mail
Generate and mail out Dunning Letters
Reprint invoices
Mail, fax or e-mail invoices
Work directly with clients to resolve billing issues
Escalate disputes to Client Services when client is seeking a credit/adjustment
Consult with Sales Account Managers to resolve client issues
Work with other departments such as billing, accounts payable to resolve client issues
Input write-offs into Great Plains
Input Rebill Request information into Great Plains
Manage Daily Aging/Query Report
Research unapplied payments
Escalate regular (REG) accounts that are 91 or more days delinquent for agency review
Other duties as assigned
Job Qualifications
High school diploma or equivalent required, some college preferred
3-5 years Collections experience required, with some Customer Service background highly desirable
Strong English language verbal and written communication skills
Ability to communicate effectively with clients and other departments
Working knowledge of PC software; Excel and Word preferred
Detail-oriented
Creative problem solving skills
Ability to prioritize and manage multiple requests
Measurements:
Dollar amount of outstanding balances collected - 60% of total aging is goal
Daily contacts achieved - 45 is minimum target
Accuracy of information input into Great Plains and accuracy of reports
Timeliness of mailing Dunning Letters - twice per month
Timeliness of follow-up with clients
Ability to determine collectability of and escalate accounts as needed
Overall work completed without need for overtime
