The Department of Pediatrics is seeking an administrative leader to provide support to Metabolic, Genetics, Pulmonary, Infectious Diseases and Adolescent Medicine divisions. The primary responsibilities include: supervise and cross train clerical staff and review work flow processes to ensure appropriate and adequate coverage; prepare division(s) on-call schedule; manage division(s) contracts; and distribute faculty and department mail on a monthly basis.
Additional duties include: maintain and update faculty curriculum vitae's, database, credentialing packets as well as state and DEA licensure; manage Microsoft Outlook calendars for faculty, including meeting coordination and itineraries; answer and screen phone calls for division(s); prepare Microsoft PowerPoint presentations; provide clinic coverage including patient registration, appointments and phone assistance, as needed; and general office support, including filing, copying, typing, and faxing.
Skills / Knowledge / Abilities
The ideal candidate will have the following skills: good organizational; ability to multi-task, prioritize and delegate; work independently and in a team setting; excellent customer service; strong attention to detail and time management as well as communication, both oral and written. In addition, must have knowledge and proficiency of the following: Microsoft PowerPoint, Outlook, Word and Excel as well as RSS (Resource Scheduling System).
Preferred Education / Experience
Prefer an Associates degree and 5-7 years experience in an academic and/or medical high stress environment supervising clerical staff. In addition, prefer experience as a team leader who is able to work closely to engage and motivate staff.
