engineering
firm providing solutions to clients in an array of industries from solid wood and engineered wood products, to pulp and paper to power and energy and bioenergy and pelletizing. We have experience in industrial projects from small capital projects to full greenfield projects. We are actively recruiting for an Project Administrator to provide adminstrative support on various projects for a 6-8 month contract.
Summary: Under minimal direction, the Project Administrator will oversee the day-to-day administrative tasks of single or multiple projects from initial phase & design phase through completion of project. The Administrator, working directly with the Project Manager and Project Controls support team, will coordinate all project aspects from planning documents to various deliverables. The Project Administrator oversees all of these elements to ensure a successful and smooth process and a completed project.
ESSENTIAL DUTIES AND
Responsibilities:
Assist Project Managers with preparation of bid packages, spreadsheets, memos and letters as directed by the project team staff.
Create bidders list and confirm, update bidder information.
Assist with preparation of bid packages as directed by the project team staff and issue bid packages to bidders. Assist with Issuing Bid Packages and meeting deadlines.
Maintain the Project Drawing list, Request For Information (RFI) Log if applicable to project.
Maintain the FTP Site (File Transfer Protocol. Ex. Sharepoint, E-builder, other cloud-based software.)
Provide backup for registration of Mid-South and foreign drawings.
Provide backup to Document Control as requested/as necessary.
Assist with Proposal Preparation/Formatting.
Plot, print, and scan drawings as needed.
Scan hardcopy vendor/reference drawings as needed.
Create transmittals for drawings, bid packages, proposals and other project documents.
Filing electronic emails on server.
Tabulate bid comparisons from bidders for Project Managers to review.
Performs routine duties in support of engineering project execution.
Performs Executive Administrative responsibilities in support of the Project Manager(s) meeting scheduling and coordination, and other tasks as assigned by PM's.
EDUCATION AND
Experience:
Associates or undergraduate degree in Office or Business Administration; or
2
years of related administrative support experience; or
Specialized courses or certification in Office Administration; or
Equivalent combination of education, training and experience.
Previous experience in an engineering or architectural or general professional
services
firm a plus.
JOB KNOWLEDGE, SKILLS AND ABILITIES:
Must be able to read, interpret and use Mid-South Engineering Project Administrative Guidelines and Procedures.
Document and report preparation experience.
MS Office Skills including Word, Excel, PowerPoint and Outlook.
Must have minimum experience with FTP related sites.
Able to work with minimum supervision and capable of self-checking for completeness and accuracy of work produced.
Must be a self-starter and able to contribute in team meetings.
Must possess well-developed problem-analyzing and problem-solving skills and must be capable of independent decision-making.
Must be able to conduct business in a tactful and professional manner.
Must be willing to support a culture of quality and continuous improvement.
Good communication skills (both oral and written).
Good organizational skills.
Ability to work in a team environment.
Experience in working with multi-function and multi-discipline projects.
Ability to work to time constraints and schedules, and meet tight deadlines.

Job will generally be performed in an office environment, but may require travel to visit a client's office or industrial/construction job site. Conditions will vary at each location, but the conditions listed above will generally apply. When performing work outside Mid-South Engineering offices, appropriate safety training and safety equipment will be provided by Mid-South and/or Client as required.
Additional hours beyond 40 per week may be necessary as workload's dictate. This may include weekdays, weekends and/or holidays.Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
